PaperCut is helping an international charity spend less on printing leaving more for humanitarian aid

Cutting to the chase

Problem

A lack of clear, customizable reporting made print management difficult.

Solution

PaperCut MF lets the company obtain exactly the information it needs.

Outcome

A system that works well for both employees and management.

Al Barakah Holding was established in 2006 to invest in a wide variety of new companies and developments that enhance the economic growth of the United Arab Emirates. From its headquarters in Abu Dhabi, the company handles a diverse portfolio of projects that include pioneering residential cities, state-of-the-art manufacturing ventures, industrial housing estates, entertainment venues, medical services, security solutions, among many other investments.

With between 700 and 800 users using more than 30 printers and multi-function devices, it was vital that Al Barakah had a reliable, easy to use print management system that worked for every employee but, just as importantly, would provide the detailed reporting that could help leaders with budgeting and system management.

“Security is vital. And with PaperCut releasing updates all the time, we can be confident that we’re keeping the whole system secure."

- Anas Hameed,

Senior IT Support Engineer, Al Barakah Holding

Problem

Anas Hameed is the Senior Information Technology Support Engineer at Al Barakah. He was responsible for migrating the company to PaperCut MF nearly three years ago. “The biggest issue we had with our previous print management system was a severe lack of relevant reporting,” Anas explains. “It didn’t provide the detailed reporting we needed, and we couldn’t customize the reports as we wanted.”

Anas worked with Al Barakah’s digital systems consultants to find a system that would better meet the company’s requirements. The consultancy recommended PaperCut as offering the ease-of-use, strong security, and comprehensive reporting options that Al Barakah was looking for. “We just asked them for the best and they said PaperCut,” declares Anas.

Solution

Once installed, the hundreds of Al Barakah employees found the PaperCut system easy to use. “We provide each worker with an access card and user ID to log in,” Anas explains, “this makes certain that their documents only print out when they arrive at the machine.” It’s important to recognize that document security is not just a matter of cyber security. Sensitive information printed out and left uncollected on a printer can just as easily lead to a damaging leak. PaperCut’s Find-Me printing ensures documents aren’t released and printed until the right person is there to collect them.

PaperCut also allows Anas to keep a lid on costs by limiting the use of color printing and encouraging printing on both sides of the paper. “We place users into groups that have differing requirements. Most of our users only have access to black and white printing which helps keep costs down,” he points out.

Outcome

Al Barakah’s PaperCut system handles the printing needs of the company across five different sites in Abu Dhabi. “It has made my job a lot easier,” Anas reveals. “With the previous system we had to manually create the users each time, but PaperCut automatically synchronizes between active directories which really has saved me a lot of time. And the system works so well, I don’t need to be going from site to site to solve printing issues.”

In addition, PaperCut’s extensive reporting options allow management to obtain greater understanding of what’s being printed, by which departments, and for which jobs. It’s given them the comprehensive oversight that their previous system lacked.

And finally, with security being a vital concern in the 21st Century, Anas is delighted by PaperCut’s commitment to staying ahead of potential vulnerabilities. “I’m really impressed by how seriously PaperCut takes security,” he emphasizes, “there are security updates every month or two, which we install immediately. It’s reassuring to know that PaperCut is actively working to keep our data safe.”
