Want to print smarter?

As you move from a small to a medium business, your challenges grow accordingly, especially when it comes to IT. Suddenly it’s no longer about keeping your head above water. You must juggle systems, staffing, and budgets across locations, maybe even across oceans and time zones, while also getting the business ready to scale.

The problem is most printing guides out there are geared towards the smaller end of the pool: small-to-medium enterprises. But what if your company falls into what Gartner calls a ‘Midsize Enterprise’ (MSE)? There’s no standard definition for what ‘medium’ looks like in the commercial world, but according to Gartner, it’s any business with between $50 million and $1 billion in revenue, or 100 to 1,000 employees. When it comes to our customers, we find ‘midsize’ generally falls somewhere in the ballpark of 200 to 1,000 employees and $50 million to $500 million in revenue.

In other words, you’ve moved out of the small startup phase, but you’re not quite an all-conquering juggernaut (yet). You have competition in your space. You still have budgetary constraints. You might be navigating those awkward teenage years, where legacy systems and servers need to be upgraded, streamlined, or ditched altogether.

Let’s talk medium enterprise print management. Efficient print management is crucial for medium businesses looking to optimize costs, boost productivity, and keep their data where it belongs. In today’s cloud- centric world, printing may seem like kind of an old-school concern, but inefficient printing can lead to significant waste – both in time and money. Without proper oversight, businesses can get bogged down in uncontrolled printing costs, paper waste, and dodgy device usage. Unsecured print environments can also pose security risks, leaving sensitive documents sitting in some paper tray – and that’s not good for business.

In this guide, we’re going to run through the basics of printing for midsize businesses. We’ll look at some case studies, work out some strategies, and help you get your systems running smoothly.

Why efficient printing matters

Being the commercial world’s middle child, medium businesses face unique logistical challenges. As they try to walk that tightrope between profitability and quality, they often experience growing pains:

  • Allocating new resources without compromising the core business model.
  • Maintaining a company culture when that company might be spread all over the country.
  • Scaling operations while fighting tooth-and-nail for market share.

So why does printing matter? Well, the truth is, many midsized businesses still rely on printing for their day-to-day operations. Client and customer comms. Internal documents and reports. Financial and legal records. Employee handbooks. Forms, contracts, and shipping inventory. It all adds up.

If you’ve got nearly 1,000 staff, and most are printing five days a week, that represents a huge investment in technology, consumables, and IT staff hours.

Need stats? The average employee prints 10,000 pages per year – worth about 725 bucks each. And 17% of those pages never even get used! Paper accounts for about 26% of total waste in landfills and waste, and the average business spends 1% to 3% of its revenue on printing.

Imagine what else you could be doing with that money.
