How do I add a new user to the system?
There are a few different ways to add users to PaperCut.
- Synchronize users from a directory source - For simplicity and ease of management, users can be imported from your organization’s user directory like Active Directory, LDAP, Google Workspace, Microsoft Entra, and others. This is configured on the User/Group Sync tab on the Options page. For more information, see

- Create users on-demand during printing - PaperCut NG/MF automatically adds users to the system the first time they print - depending on your
on-demand user creation settings
. If your
new user initial settings rules
are defined correctly on the Groups tab, the user is automatically created with the designated starting credit and settings.
- Create users manually - smaller organizations without a user directory can consider creating users manually. In this scenario, users and their login details are managed by PaperCut NG/MF. See the Internal users documentation for more details.
How do I add credit to a user?
- In the admin interface, head into Users > [select user] > Default (built-in account).
- Either next to the credit click the adjust link, or select the Adjustment & Charges tab.
How should I make a change to more than one user?
If you need to make a change to more than one user, consider using the Bulk user actions link on either the User List or Group List page. Bulk actions are located in the Actions menu.
This allows bulk modification of user settings based on their network group membership or via a user list. See Bulk user operations .
How do I bulk import or bulk add users?
You can bulk import Internal users by following our Batch internal user import and update documentation. Note that with internal users, you do have the option of setting a password, since these users are managed within PaperCut MF/NG.
You can bulk import Standard users by following our Batch import and update Standard users documentation. Note that with Standard users, you cannot set a password when importing/updating these users, since standard user authentication is managed by the user directory (e.g. Active Directory or Google Workspace etc - see your User/Group Sync settings under Options > User/Group Sync).

How do I grant administrator access to a trusted person to manage a group of users?
You can grant administrator level access to trusted individuals. See Assigning administrator level access . By using advanced access control rights, you can limit administrators to a subset of users (a group) via the option Limit access to users only in group.

How can I prevent new users from being added automatically?

Alternatively you can change your User/Group Sync settings to match your requirements, and even ignore specific users if needed.

Due to technical reasons I'm unable to create new groups in my domain. Can I create groups in PaperCut NG/MF?
Yes. You can also define groups via a text file (for example a tab-delimited file). Simply place your group definition file at the location:
[app-path]/server/data/conf/additional-groups.txt

I have two different networks with different username naming conventions (e.g. j.smith and jsmith). Is this supported?
Yes. You can enable Username aliasing under Options > Advanced.
Another option to set up username aliasing is described in the file below:

Can I manage my own set of users inside PaperCut NG/MF (as well as / instead of importing users from a user directory)?
Yes. PaperCut NG/MF is designed to keep user management simple and automated, but you can manage users inside PaperCut NG/MF as well as or instead of using users from a user directory.
Users managed by PaperCut NG/MF are termed internal users. For more information, see Internal users (users managed by PaperCut NG/MF) .
